The challenge

The challenge

Hospitals rely on large logistical teams to support the flow of patients and goods. But creating fair, efficient staff schedules is often a slow, manual process.

Planners must allocate dozens of employees across many different task types - each with minimum coverage requirements, specific skills, individual contract hours, and part-time availability. The result is an intricate puzzle that takes hours to solve, is vulnerable to bias, and leaves little room to test “what if” scenarios.

As hospitals grow and teams expand, the manual process only becomes harder to manage.

As hospitals grow and teams expand, the manual process only becomes harder to manage.

Solution

We developed an AI-assisted scheduling tool that creates monthly staff schedules automatically within hospital rules and constraints.

The tool matches 50+ employees to tasks while respecting contract hours, skill sets, and availability. It minimises under-allocation (fewer staff than required) and highlights over-allocation (too many staff assigned to a task) - giving hospitals a clear view of where training or recruitment may be needed.

Planners remain in control: they can assign priorities to certain task types, lock shifts manually, and instantly generate new schedules when conditions change. What once required hours of manual work can now be produced in minutes, with full transparency on trade-offs.

Results

Faster scheduling

hours of manual effort reduced to minutes.

Better resource balance

consistent allocation across 30+ task types.

Actionable insights

clear visibility into under- and over-allocation, supporting smarter recruitment and training decisions.
